We are hiring – Project Coordinator

We are looking for a proactive and well-organised Project Coordinator to support the delivery of multiple projects across a fast-paced and dynamic environment.

The ideal candidate will have some experience in project coordination or project support roles, with strong attention to detail and excellent communication skills. They should be comfortable working with cross-functional teams and supporting client engagement, including liaising with stakeholders from a range of sectors including public, private, and not-for-profit.

We run a number of inward investment initiatives and place marketing campaigns for numerous local and regional governmental organisations as well as private clients, providing events, information and resources to advance and promote development and economic renewal.

The Role

We are looking for a motivated and detail-oriented team member who is keen to grow their skills and contribute to a wide range of events and projects. This role will support the projects team in delivering both new and established events from planning through to execution.

With a focus on event logistics and administrative support, the role will also involve liaising with clients, sponsors, speakers, and other key stakeholders. Strong organisational skills, a proactive mindset, and clear communication are key to success in this role.

Working closely with and supported by the Head of Projects, the successful candidate will be comfortable working in a dynamic environment and managing competing priorities to help ensure the smooth delivery of events. These may include conferences, corporate events, award programmes, exhibitions, product launches, and community initiatives.

Key Tasks:

The project coordinator’s role will include a wide variety of tasks including:

Support communication with clients, sponsors, speakers, and suppliers to gather information and confirm requirements.
Assist in organising suppliers (e.g. venues, AV, catering, security, equipment hire) and tracking logistics.
Coordinate event materials, including invitations, delegate packs, name badges, and signage.
Manage event inboxes and respond to queries professionally and promptly.
Help maintain event documentation such as timelines, staff rotas, floor plans, and packing lists.
Attend project meetings, take notes, and follow up on action points.
Work with internal teams (e.g. marketing, PR, design) to support project delivery.
Assist in on-site event coordination: registration, supplier liaison, and troubleshooting.
Support post-event tasks including feedback collection, data entry, and reporting.
Conduct research into topics, venues, speakers, and sponsor opportunities.
Book travel and accommodation for team or client attendance at external events.
Provide general administrative support across multiple projects.

 

In addition, the right candidate will be required to:

Deliver a high standard of customer service and ensure positive customer experience.
Take initiative, work independently, and be comfortable managing own workload.
Have a strong eye for detail and take pride in maintaining accuracy and meeting deadlines.
Be able to support multiple team members, staying organised and proactive in a fast-paced environment.
Have an interest in property, real estate, regeneration, or the built environment would be beneficial.

 

Core Skills & Experience

1- 2 years’ experience in events, project coordination, or a similar support role(required).
Strong administrative and organisational skills, with great attention to detail.
Able to manage multiple tasks and deadlines in a fast-paced environment.
Good time management and the ability to stay calm under pressure.
Confident communicator with strong interpersonal skills and a professional manner.
Comfortable using Microsoft Office (Word, Excel, PowerPoint, Outlook) and web-based research tools.
Experience with platforms like Microsoft Teams, Canva, or basic project management software is a plus.
Positive, proactive, and adaptable – ready to support the team wherever needed.
Reliable and committed, with a can-do attitude.
Collaborative team player who enjoys working with others.
Creative thinker with a solutions-focused mindset.
Interest in (or willingness to learn about) regeneration, development, and place-based projects.

Office details and conditions

The role follows a hybrid working policy, requiring candidates to work both remotely and from the office in Croydon (CR0 1PE).

Working hours can be regular between projects but, due to the nature of the role, you will sometimes be required to work additional and unsocial hours.

Travel to visit clients, partners, sponsors, venues, and other suppliers will sometimes be necessary.

The successful candidate may need to work indoors, outdoors and in all weather conditions at specific events.

 

Salary

£27,000 – £32,000 per annum

Salary figures will vary dependant on level of experience and qualifications.
